Minutes of R27 AGM 9/11/23
* With the open fire roaring
the meeting Opened at 7:32pm and The Rep welcomed all to the meeting (14 members).
* List of apologies read.
* Minutes of previous AGM read and approved.
* Committee stood down and Chalky ran the election of secretary.
* Curious voted back in as secretary.
* Secretary ran election of remaining committee positions.
* Voted back in - Darryll Rep, Herby Assistant Rep, Hilary Treasurer.
* Hilary reported that the Winter Party Jan 2023 made £1,724 and the Autojumble Oct 2022 made £736. Autojumble October 2023 made £659 plus £208 on food.
Cash in bank currently £4,453 plus £269 in PayPal.
* Vote of thanks by Chalky to all who helped, especially to Helen for her tireless efforts catering for our events.
* It was agreed that Hilary investigate venues for Autojumble 2024 and book the preferred venue.
* Winter Party Sat 20th January 2024. Helen once again doing food, with some help from other members. Helen volunteered to look into a taxi company from Stowmarket and Hilary from Woolpit, to take guests to the hotel. (details to follow).
# Big thanks to Hilary who is once again doing a custom skittle for the raffle and Helen for catering as both take lots of precious time.
* It was agreed that Chalky was going to look into the possibility of the club shop selling our products through their website with some profit coming back to the region. Hilary said she now holds stock of region badges and sew on badges for any member who wants them.
* It was agreed that Copdock was a great success and the PR team are booked again for next year. It was agreed that the region would get 14 tickets (free) for the event next year for those helping out. A vote of thanks was given to all those who helped out. Darryll was tasked to procure a bigger region banner before the event next year.
* A vote of thanks was given to Helen for organising the Xmas dinner on Sat 3rd December.
# There are still some places available, contact Helen or Darryll for more info.
* It was agreed that we would head en masse to the International 6-9 June in Malton, Yorkshire with the main body departing on the morning of Friday 7th June. Cost is £35 for members and pillion passengers and £40 for guests.
# At The Reps meeting a full brief was given on the International by Yorkshire and this looks like a fantastic event with great facilities, bands and in a great location.
* Other Trips and rallies were discussed and it was agreed that members would plan more for the upcoming year, including rallies, breakfast runs and overnight runs. # Members, please come up with ideas.
* It was agreed that we would donate £1,000 to the Air Ambulance and the £269 from the PayPal account to Prostate Cancer.

* Herby asked for a helper at the door for the Winter Party and Ian agreed to help. Darryll asked if members could be available at the end to help clear the hall. Members were asked to bring along anything that could be used for the raffle.
* Curious asked if the price of tickets could be raised for next year for the party (Jan 2025). It was agreed that the committee would review this before printing tickets for the 2025 party.
* Herby said that there was ample profit on the tickets and Helen is to ensure that she has adequate funds to provide the food for the upcoming winter party. (Helen, please let us know the real cost).
Being no other business the meeting closed at 9:05pm.
